Registration Control Systems

customers as follows:
RCS may receive personal or professional information directly from individuals, from event organizers and other
RCS clients, through event registration and lead retrieval services, or through the use of RCS websites,
applications, and other services. There are two
primary types of personal information provided to RCS by clients and customers of Registration Control
Systems.
The definitions and treatments of these types are as follows:
Financial Information -
Payment information gathered during the registration and event build up process -
including but not limited to, credit card numbers, financial institutions, and expiration dates - is
considered Financial. This information is not distributed under any circumstance.
Professional Information - Data that customers provide to Registration Control Systems, and its
clients, through various methods of communications with RCS is considered professional information that is
stored
and managed for the internal use of RCS and its clients. Professional data includes, but is not limited to,
name, address, company name, company address, phone number, fax number, email address, as well as questions
answered on survey, registration and service order forms.
Data captured during a customer's visit to an
RCS website, as well as during a visit with another RCS client or customer, is also considered professional
information and may also be stored for RCS or its clients internal use. Professional information may be, with
the consent of RCS, shared with other organizations or RCS vendors and suppliers for the purpose of
facilitating
business relationships in our customer's best interests. These include but are not limited to show and event
contractors and suppliers for, electrical, freight, booth set up, rental of show or event related equipment,
etc.
RCS does not sell your information to any third-party or share your information with other RCS clients or
customers without your consent.
RCS may disclose your personal information, without notice, if required
to do
so by law or in the good faith belief that such action is necessary to: (a) conform to the edicts of the law
or comply with legal process served on RCS or our sites; (b) protect and defend the rights or property of RCS;
and/or (c) act under exigent circumstances to protect the personal safety of users of RCS, or the
public.
Registration Control Systems, Inc. (“RCS”) provides mobile applications and related services for trade show, conference, and event operations. This Privacy Policy applies to RCS mobile applications, including the ExpoSmart lead retrieval application, in addition to RCS websites and other services.
ExpoSmart is designed to allow authorized exhibitors and event personnel to capture and manage attendee information for legitimate event-related lead retrieval purposes.
Depending on the event and the information made available by the event organizer, client, attendee badge, or
registration system, ExpoSmart may process Professional Information including, but not limited to:

Professional Information processed through ExpoSmart may be provided directly by an individual, supplied to RCS by an event organizer or other RCS client, obtained from an attendee's event registration record, or retrieved when an authorized ExpoSmart user scans an attendee badge.
Information processed through ExpoSmart is used to provide lead retrieval and related event services. This may
include:
ExpoSmart does not use attendee or exhibitor information for third-party advertising purposes, and RCS does not sell personal information collected or processed through ExpoSmart.
ExpoSmart may temporarily or persistently store captured lead information on the Android device on which the application is installed so that users can access their leads and continue operating when network connectivity is limited or unavailable.
When network connectivity is available, ExpoSmart may transmit captured lead information, qualification information, notes, event identifiers, and related technical information to RCS systems for synchronization, storage, retrieval, and support of the lead retrieval service.
Information transmitted between ExpoSmart and RCS systems is encrypted in transit using secure HTTPS/TLS connections.
ExpoSmart may generate, store, or transmit technical information necessary to operate the application and associate activity with the appropriate event or device. This may include application version information, device or application identifiers, synchronization status, network connectivity status, and diagnostic information necessary to operate, maintain, secure, or troubleshoot the service.
ExpoSmart may also use third-party technology or software development kits, including Google services used to support barcode or QR code scanning and other application functionality. Such providers may process limited technical or diagnostic information in accordance with their own privacy policies and applicable agreements with RCS.
ExpoSmart uses the camera or a compatible connected barcode scanner to read attendee badges and other event-specific barcodes or QR codes.
The information contained in a scanned badge varies by event. A badge may contain attendee information directly or may contain an identifier that ExpoSmart uses to retrieve attendee information from RCS systems.
Badge information is processed for the purpose of providing lead retrieval services to the exhibitor or other authorized user performing the scan.
Professional Information processed through ExpoSmart may be made available to the exhibitor or organization authorized to collect the lead and to the applicable event organizer or RCS client where necessary to provide event and lead retrieval services.
RCS may also use vendors, service providers, and technology providers where reasonably necessary to operate, secure, maintain, or support ExpoSmart and related RCS systems.
RCS does not sell information processed through ExpoSmart to third parties.
RCS may disclose information where required by law, legal process, or where reasonably necessary to protect the rights, property, security, or safety of RCS, its clients, customers, users, or the public.
RCS retains information processed through ExpoSmart for as long as reasonably necessary to provide contracted event and lead retrieval services, fulfill obligations to RCS clients, maintain appropriate business records, comply with legal requirements, resolve disputes, and support legitimate business operations.
Retention periods may vary depending on the event, the applicable client agreement, the type of information involved, and applicable legal or contractual requirements.
Lead information stored locally within the ExpoSmart application may remain on the device until it is removed through application functionality, application data is cleared, or the application is uninstalled.
Individuals may contact RCS to ask questions about Professional Information maintained by RCS or to request access to, correction of, or deletion of personal information, subject to applicable legal, contractual, and record-retention requirements.
Because RCS frequently processes event information on behalf of an event organizer or other client, certain requests may need to be directed to or coordinated with the applicable event organizer.

When submitting a request, individuals should provide sufficient information to allow RCS to identify the applicable event and record.
RCS uses reasonable administrative, technical, and organizational measures designed to protect information processed through ExpoSmart against unauthorized access, loss, misuse, alteration, or disclosure.
No method of electronic transmission or storage can be guaranteed to be completely secure, and RCS cannot guarantee absolute security of information.
Registration Control Systems will accept, acknowledge and maintain any customer's request to opt-out of
either future communication from RCS or communication from a third party to whom RCS provided the customer's
information.

Where a site is password protected it will use Cookies. Cookies are a simple text file. They are not
executable programs, and consequently cookies cannot contain a virus, or any other application. Cookies are
also very small,
and you run no risk of filling your hard drive with too many cookies.
The RCS cookie that is placed on
your computer as a result of an interaction with one of our sites contains only your unique reference number
that is
allocated by the communication process. This consists of a four-digit number. There is no information in the
Cookie that can identify you. The Cookie is only valid when you access the relevant RCS site.
Information about your computer hardware and software may be automatically collected by RCS. This information
can include: your IP address, browser type, domain names, access times and referring website addresses. This
information
is used for the operation of the service, to maintain quality of the service, and to provide general
statistics regarding use of the RCS website.

Our sites recognize the home servers of visitors, but not their email addresses. Individually identifiable
email addresses are not captured or stored unless they are provided. Persons who communicate with RCS and
supply us with an email address,
may receive future communications by email or telephone. Persons who do not wish to receive email messages may
contact RCS and ask to be removed; to do so, send an email to customerservice@rcsreg.com and specify your name, company name
and email
address.
As such, RCS supports the customer's right to "opt-out". Persons who request information from or about RCS,
and who supply us with their name and address will be added to our database to receive the requested
information.
RCS does not knowingly collect personally identifiable information from children under the age of thirteen.
If you are under the age of thirteen, you must ask your parent or guardian for permission to use our websites, applications, or services.
Our sites contain links to external sites. Registration Control Systems is not responsible for, and has no
control over, the content of such sites. Information on our sites, or available via hypertext link from our
sites, is made available without responsibility on the part of RCS.
Registration Control Systems disclaims all responsibility and liability (including negligence) in
relation to information on or accessible from our sites.
RCS reserves the right to change this Privacy Policy from time to time. We will notify you about significant changes in the way we treat personal information by sending a notice to the primary email address specified in your account, by placing a prominent notice on our sites, and/or by updating any privacy information on this page. Your continued use of our sites and/or services available through our sites after such modifications will constitute your: (a) acknowledgment of the modified Privacy Policy; and (b) agreement to abide and be bound by that Policy.
